This Privacy Policy describes how FocusFlow ("we", "our", or "us") collects, uses, and discloses your information when you use our mobile application FocusFlow (the "App"). By using the App, you agree to the collection and use of information in accordance with this policy.
Your Privacy Matters. FocusFlow is designed with a privacy-first architecture. All user data is stored exclusively on your device. We do not collect, transmit, or share any personal data with third parties.
1. Information We Collect
FocusFlow does not collect or transmit any personal data to servers or third parties. The App operates entirely offline. However, the following types of data are stored locally on your device:
a. Personal Information You Provide
- Profile Name: A username you choose, stored locally on your device.
- Profile Photo: An optional photo you select from your gallery or take with your camera, stored locally.
b. App-Generated Data (Stored Locally)
- Tasks: Titles, descriptions, notes, deadlines, priorities, categories, subtasks, and time tracking data you create.
- Focus Schedule: Pomodoro sessions, completion history, and task progress.
- Task Activity: When tasks are completed, postponed, or deleted (used for AI suggestions).
- Theme Preference: Your dark/light mode selection.
- Language Preference: Your selected app language (English, Marathi, or Hindi).
c. Device Permissions
With your explicit consent, the App may request access to:
- Camera: Used only when you choose to take a profile photo.
- Photo Library: Used only when you choose to select a profile photo from your gallery.
- Notifications: Used only when you set a task reminder. The App schedules local notifications to alert you before a task deadline. No data is sent to any server.
- Calendar: Used only when you manually trigger the "Sync with Calendar" feature to add task deadlines to your device calendar.
No permissions are used in the background or without your explicit action.
2. How We Use Your Information
Since all data is stored locally, information is used exclusively to:
- Display and manage your tasks within the App.
- Provide AI-based suggestions (task prioritization, deadline predictions, habit detection) using rule-based logic on your device.
- Enable Pomodoro timer and Kanban board functionality.
- Send you local task deadline reminders via notifications (only when you set a reminder on a task).
- Sync task deadlines to your device calendar (only when you manually initiate sync).
- Export your data as a CSV file (only when you manually initiate export).
- Improve your experience through the Focus Score and Analytics features.
3. Data Sharing and Disclosure
We do not collect, transmit, or share any data. FocusFlow has no servers, databases, or cloud infrastructure. Your data remains solely on your device. We do not:
- Sell or rent your personal information.
- Share data with analytics providers, advertisers, or third-party services.
- Transmit data over the internet (except for CSV export which you manually initiate via the system share sheet).
- Use cookies or tracking technologies.
4. Data Storage and Security
- Storage Method: All data is stored using AsyncStorage, a local key-value storage system provided by React Native. Data is persisted as JSON on your device's internal storage.
- Security: Data is protected by your device's built-in security features (encryption, screen lock, etc.). We recommend enabling device-level security (PIN, password, biometric) to protect your data.
- Backup: App data may be included in your device's automatic system backups (e.g., Google Drive Backup on Android). FocusFlow itself does not create cloud backups.
5. Calendar Sync
The calendar sync feature is entirely optional and manual. When you tap "Sync with Calendar":
- Task deadlines are added as all-day events to your device's local calendar.
- Events are created in a dedicated "FocusFlow" calendar.
- You can remove synced events at any time by tapping "Remove Events" in the Calendar tab.
- This feature uses your device's local calendar, not Google Calendar cloud. Events may appear in your Google Calendar if your device calendar is configured to sync with Google.
6. Data Export and Deletion
- Export: You can export all your tasks as a CSV file from Settings → "Export Backup (CSV)". The file is saved to your device and can be shared via the system share sheet.
- Deletion: Since all data is stored locally, you can delete all data by clearing the App's data from your device settings (Settings → Apps → FocusFlow → Storage → Clear Data). Uninstalling the App will also remove all local data.
- Individual Deletion: Individual tasks can be deleted from the task menu (⋮) or by swiping/long-pressing on the task.
7. Children's Privacy
FocusFlow is not directed at children under the age of 13. We do not knowingly collect any personal information from children under 13. If you are a parent or guardian and believe that your child has provided us with personal information, please contact us immediately. Since all data is local, you may simply uninstall the App or clear its data.
8. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by updating the "Last updated" date at the top of this policy. You are advised to review this policy periodically for any changes. Changes are effective immediately after being posted.
9. Your Rights
Depending on your jurisdiction, you may have the following rights regarding your data:
- Right to Access: All your data is accessible within the App.
- Right to Rectification: You can edit any task or profile information within the App.
- Right to Deletion: You can delete individual tasks or all data (by clearing app data).
- Right to Data Portability: You can export your tasks as CSV from Settings.

10. Third-Party Services
FocusFlow uses the following third-party libraries that may have their own data handling practices:
- Expo SDK (react-native) — Framework used to build the App. No data collection by Expo occurs when using a local-only app. See Expo Privacy Policy.
- React Native AsyncStorage — Local storage library. Does not transmit data.
- Expo Calendar — Used for optional calendar sync. Operates entirely on-device.
- Expo Image Picker — Used for optional profile photo selection. Operates entirely on-device.
None of these libraries transmit your app data to their servers.
